Need

PowerLink, a branch of the company that deals with the production of submarine cables, needed a tool that would allow both the Project Managers and the managers of the factories, at the Worldwide level, to manage and monitor the planning of projects.

Following further analysis, it also emerged the need to highlight and monitor any delivery penalties, as well as to have a clear and global vision of the entire project portfolio, in order to be able to manage the allocation of resources and their respective tasks in a timely manner, maximizing times and profits.

Solution

After evaluating various possible solutions, Power Link decided to opt for the use of the Microsoft Project Online platform with which it was possible, at first, to identify the characteristics to be able to aggregate all the projects and related activities.

Subsequently, the various custom solutions for the elaboration of the projects and the relative construction of the projects - program were implemented.

In a second moment, in order to meet the customer's request to standardize the data acquisition and reading method, Gantt templates and Share Point sites were created; finally, a tool was created that can aggregate project data and Share Point lists, which can be queried by various reporting tools.

Achieved Results

Giacomo Solbiati, PMO Manager of Prysmian Group, highlighted several improvements in the document and report management system of the entire organization, in particular thanks to the introduction of the SharePoint platform, which contributed to document standardization both in the tender and in the execution.
SharePoint has been, and continues to be, fundamental for the creation of a centralized tool to track characteristics, details and alerts shared between cross plant and function.

Furthermore, the integration with SaleForce allowed an automatic flow of documents and reports to be generated, as well as the creation of standard sites.

The introduction of SharePoint and Project Online has totally changed the business approach and project management, introducing a shared platform and facilitating communication between people, plants and site offices around the world.

Another tool that proved to be advantageous in terms of planning and control, according to Giacomo Solbiati, was Microsoft Project Online; the management platform, in fact, facilitated the sharing of information, the consolidation of data and reporting. Project Online also proved to be very useful in managing the project portfolio, as well as proved to be an effective tool for monitoring the weighted scenario analysis at a Worldwide level.
